This Privacy Policy describes how Prevail Wellness Academy LLC, doing business as Be Whole Do Good ("we," "us," or "our"), collects, uses, and protects your personal information across our website, programs, and the Be Whole Do Good mobile app (collectively, the "Services"). By creating an account, purchasing, or using any of our Services, you agree to be bound by these terms. If you do not agree, please do not use the Services.

 

1. Information We Collect

We may collect the following personal information:

  • Name

  • Email address

  • Phone number

  • Billing information (processed securely by third-party payment processors; we do not store full payment details)

  • Physical mailing address (when purchasing physical products)

When you use the Be Whole Do Good mobile app, we additionally collect:

  • Family account email and password (the password is stored only as a one-way encrypted hash; we never see or store it in plain text)
  • Family name and family member profiles (first name, age, and an optional avatar photo or chosen Light Bearer character that you select)
  • Habit selections and daily check-ins, mission progress, level achievements, and points
  • Reflection notes and any custom habits or family experiences you create
  • Feedback you choose to submit through the in-app feedback form
  • Notification preferences (such as your preferred reminder time)
  • Standard diagnostic data such as crash reports and basic performance metrics, used solely to keep the app running reliably

The app does NOT collect:

  • Your device location (we never request location permission)
  • Your contacts, calendar, or microphone
  • Camera access for photos (we only use the photo library, and only when you actively tap "Choose from library")
  • Any health, fitness, or biometric data
  • Any data for advertising or tracking purposes

We do not knowingly collect personal information from children under the age of 13.  Children may use the app only as a profile within their parent's family account, under direct parental supervision. Parents are solely responsible for managing their children's profiles and may delete a child's profile at any time from within the app.

 

2. How We Use Your Information

Your information may be used to:

  • Deliver purchased products and services
  • Authenticate your account and provide app functionality (login, family profiles, habit tracking, progress, reflections)
  • Communicate program content and updates
  • Send transactional and marketing communications
  • Provide customer support
  • Improve our offerings and diagnose technical issues
  • Facilitate program participation features such as engagement tracking, responses, and progress updates
  • Trigger charitable donations on your family's behalf to our humanitarian partner (CHOICE Humanitarian) when your family reaches level milestones

We do not use your information for third-party advertising, advertising measurement, retargeting, or profiling. We do not share your data with data brokers.

 

3. SMS & Email Communications

If you opt in, we may send you SMS messages related to your program participation or membership. You may opt out at any time by replying STOP.

Email communications may include transactional and marketing messages. You may unsubscribe from marketing emails at any time.  Push notifications from the mobile app are optional and can be disabled at any time from within the app's notification settings or your device's system settings.

 

4. Photos and Avatars

Within the app, parents may optionally upload a photo from their device's photo library to use as a family member's avatar. These photos:

  • Are uploaded only when a parent or member actively chooses one through our "Choose from library" interface
  • Are used solely to display the avatar inside your family's private account
  • Are stored as part of your family member record on our secure backend
  • Are never shared, sold, or used for advertising
  • Can be removed at any time by editing the family member or deleting their profile

We do not access the camera; we do not browse your photo library; we do not request photo library access until you tap the photo button.

5. Data Sharing

We do not sell, rent, or trade your personal information.

We may share information with trusted third-party service providers solely to operate our business, including:

  • Kajabi (website, content delivery, account and membership management)
  • Payment processors (e.g., Stripe)
  • Twilio (SMS delivery)
  • Zapier (automation)
  • Email service providers (e.g., Resend)
  • Vimeo (video hosting and playback within the app)
  • Apple App Store (app distribution and crash reporting on iOS)
  • Google Play Store (app distribution and crash reporting on Android)

These providers are bound by their own privacy policies and are required to protect your information. We provide them only the minimum data needed to perform their service.

 

6. Data Security

We take reasonable measures to protect your personal information, including encrypted transport (HTTPS) for all communication between the app and our servers, secure password hashing, and access-controlled databases. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

 

7. Your Rights and Account Deletion

You may request access to, correction of, or deletion of your personal information at any time by contacting us at the email below.

In addition, the Be Whole Do Good mobile app provides a built-in "Delete Account" option within Profile & Settings. Selecting this option permanently removes your family account, all family member profiles, all uploaded photos, all progress data, and all reflections from our active systems. Backups containing this data are deleted within 30 days.

Depending on your jurisdiction (such as residents of California, the EU, or the UK), you may have additional rights under applicable law, including the right to access, rectify, port, or delete your personal data, and the right to withdraw consent. 8. International Users

Our Services are primarily intended for users in the United States. If you access our Services from outside the United States, your information will be transferred to, processed in, and stored in the United States, where data protection laws may differ from those of your country.

 

9. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised effective date. Material changes will be communicated to active members by email and, where appropriate, through an in-app notice.
